Facility Purpose Statement
Tranquility Wyldes facilities are intended for use by disciples of Jesus who want encouragement, fellowship, and refreshment. Although the facilities are not generally open to the public, the Wyldes makes its facilities available to approved groups on a case-by-case basis as a means of demonstrating the Gospel of Jesus Christ in practice.
These facilities may not be used for activities that contradict, or are inconsistent with, the Camp’s beliefs, as summarized in the Camp’s statement of faith. This restricted facility use policy is necessary for two reasons. First, Tranquility Wyldes may not in good conscience materially cooperate in activities or promote beliefs that are contrary to its faith (2 Cor. 6:14; 1 Thess. 5:22). Second, Tranquility Wyldes must present a consistent public witness to the community through its stewardship of its property. Allowing facilities to be used by those who express beliefs or engage in practices contrary to the Wyldes faith would have a severe, negative impact on the message that the camp strives to promote and could cause confusion and scandal to the Wyldes’ members and the community. Therefore, only events that are consistent with the camp’s religious beliefs, as determined by the Directors, shall be permitted.
Approved Users
The Directors must approve all Tranquility Wyldes facility use requests. Priority shall be given to Tranquility Wyldes-sponsored groups or activities.
In the Wyldes’ sole discretion, Tranquility Wyldes facilities may be made available to individuals or groups (the “User”) meeting the following qualifications:
- The User must affirm that the planned facility use does not violate the Wyldes’ Statement of Faith.
- The User must agree to abide by the Wyldes’ rules of conduct for facility use, as stated below and as described in any additional instructions by the Wyldes staff.
- The User must take responsibility for the facilities and equipment used.
Facility Use Guidelines
- Users may only enter and use those areas of the facilities that have been reserved.
- Alcohol and illicit drugs are prohibited.
- Smoking is prohibited.
- Sex-specific changing areas, restrooms, and showers are to be used by members of the designated biological sex only.
- Camp equipment must be returned to original placement, unless arranged otherwise prior to the event.
- All lights, ac units, and heaters must be turned off upon departure.
- Abusive or foul language, and violent behavior are strictly prohibited on the Wyldes premises. Any person exhibiting such behavior will be required to leave.
- No animals permitted (exception made for service animals).
- Fires allowed in designated areas only.
- No off-road vehicles on the property.
Insurance
For all non-Tranquility Wyldes-sponsored events, the User must obtain liability insurance coverage, naming Tranquility Wyldes as an additional insured. Proof of Insurance should be emailed to tranquilitywyldes@gmail.com prior to your arrival.
Contract Agreement
AGREEMENT: Tranquility Wyldes agrees to provide a facility which is reasonably safe, clean and in good usage condition. No medical personnel are on the grounds.
LIABILITY: Tranquility Wyldes carries only public liability insurance and therefore all using agencies, and all persons who come to Tranquility Wyldes hereby, unconditionally, assume full responsibility for their own accident, medical, and/or hospitalization expenses. It is the responsibility of the contact person to inform all their guests.
PROPERTY DAMAGE: We ask that you report any property damage before you depart so that an equitable adjustment can be discussed with you and proper charges determined at that time. Otherwise, the Director will determine charges for all damages. There will be a walk-through of the grounds at the beginning and end of your stay at your request. If you discover any damages to the facility upon arriving, please notify the Director so that there is no confusion regarding the condition of the facility upon check-in and departure.
ASSUMPTION OF RISK, INDEMNIFICATION AND HOLD HARMLESS, WAIVER, RELEASE: The Group, each Group Member, and each Permissive User assumes all risks of loss, damage, or injury to persons or property which arise out of the Group’s, each Group Member’s, or each Permissive User’s use of Tranquility Wyldes and the Facilities (including, without limitation, equipment) and agrees to indemnify and hold harmless Tranquility Wyldes and its officers, employees, directors, representatives, and agents (collectively “Indemnities”) from and against any and all judgments, losses, expenses, liabilities, damages, claims, liens and expenses, including but not limited to attorney’s fees (at trial, on appeal, and otherwise) which indemnities may suffer, incur, or sustain, as a result of or arising from or connected with any operations, activities, or use of Tranquility Wyldes and the facilities and equipment by the Group, each Group Member, each Permissive User, and any of the Group’s officers, directors, employees, agents, and subcontractors, or any other representatives (collectively “Claims”). The Group, each Group Member, each Permissive User, and each of the Group’s officers, directors, employees, agents, subcontractors, and other representatives hereby waive any and all known and unknown Claims it has or may have against Tranquility Wyldes and hereby releases Tranquility Wyldes from any and all judgments, losses, expenses, liabilities, damages, claims, liens, and expenses which Tranquility Wyldes may suffer, incur, or sustain, as a result of or arising from or connected with any operations or activities, or use by user of Tranquility Wyldes and the facilities and equipment by the Group, each Group Member, each Permissive User, and any of the Group’s officers, directors, employees, agents, subcontractors, or other representatives.
HEALTH & SAFETY:
(A) First Aid: Each group is responsible for their own health care. Tranquility Wyldes is not responsible for providing a camp nurse or other health professional. Each group is responsible for providing their own First Aid supplies.
(B) Adult Staff and Volunteers: Groups are advised to complete background checks on all adults working with minors on the site, including a National Sex Offender Public Registry (www.nsopr.gov ) check, the completion of a voluntary disclosure statement, reference checks, and a personal interview as well as comprehensive hiring policies for staff and volunteers.
(C) Incident Reports: Group agrees to report any incidents of injury to the Camp Director.
DEPOSIT AND PAYMENT AGREEMENTS: The deposit will be half of the total fee, unless otherwise stipulated by the Director. The deposit will be deducted from your total cost. Your reservation is not final until this form and the deposit have been received. Your total payment is due at the time of your arrival, unless other arrangements have been made with the director.
CANCELLATIONS: After we receive your contract and deposit: if you cancel more than one month in advance, you may make a reservation within one year from the original reservation and use your original deposit for the changed date. If you cancel within one month of the date (30 days), you will lose your deposit.
Affirmation
I (the User) affirm that:
- I understand that the Wyldes does not allow its facilities to be used in a way that materially conflicts with its faith (Statement of Faith can be viewed below).
- To the best of my knowledge, the purpose for which I am requesting use of the Camp’s facilities will not contradict the Camp’s faith, and I commit to promptly disclose any potential conflict of which I am aware or become aware of to Camp staff.
- I understand that the Camp does not allow its facilities to be generally available to the public, and that my use of these facilities is subject to the Director’s approval, which is conditioned in part on my agreement to the requirements in the Camp Facility Use Policy, a copy of which I have read and understood.
- I understand that upon approval of my facilities use request, I will need to provide a security deposit in the amount of half of the total fee. A certificate of insurance coverage (email to tranquilitywyldes@gmail.com), and any other fees required by the Camp.
- I understand that I will be responsible for any damages to the Camp facilities resulting from this proposed use of facilities.
- I have read and agreed to the terms presented in the Contract Agreement.
- I understand that the Wyldes believes disputes are to be worked out between parties pursuant to Matthew 18 and 1 Corinthians 6, without recourse to the courts. Accordingly, I agree to attempt resolution of any disputes through Christian mediation.
